Your Personal Details

As part of our arrangement with you, Tozer LLP (“we”, or “us”, or “our”) has certain obligations under privacy laws, including the Data Protection Act (the “Act”) to notify individuals how it will process any personal information it collects about them. Our associated group companies (“Group Companies”) may also be provided with personal information about you. This Notice will inform you of what personal information we collect, how that information is used, where it is transferred, and how you may view and amend such information. You may be assured that we will treat all personal information as confidential and will not process it other than for a legitimate purpose. Steps will be taken to ensure that the information is accurate, kept up to date and not kept for longer than is necessary. Examples of likely items which may contain sensitive personal data (although this is not an exhaustive list) are life insurance questionnaires, medical reports and SSP self-certification forms.

How will my personal data be collected and used?

We collect personal data from you to the extent necessary to provide advice, administrative and management services and (subject to the provisions below), related marketing activities.

We may process your personal data and sensitive personal data for the following reasons:

  • The administration, management and provision of advice in relation to financial services products;
  • Our legitimate business processes and activities including internal audit, accounting, business planning and proposed and actual transactions (including joint ventures and disposals of business); and
  • Compliance with legal (including dealing with claims), regulatory and other good governance obligations.

This list is not exhaustive and may be updated from time to time as business needs and legal requirements dictate. Some of the personal data that we maintain will be kept in paper files, while other personal data will be included in computerised files and electronic databases.

How is this data collected and processed within the Website?

Among the types of Personal Data that this Website collects are: Usage Data and Contact Details such as: first name, last name, company name, address, email address and city.

Within this Website we use a number of processes to gather data;

  • Gravity Forms is used to compose the online forms which are found in ‘Contact Us’ and ‘Subscribe to Newsletter’ pages within the Website.

    Your data is not processed until the mandatory fields of the form are completed and the form submitted.

    Your data is emailed directly to the Data Controller and processed via their email protocols.

    Your data is then completely deleted from the Websites Database within 24 hours.

    In circumstances where the purpose of the form is for ‘Subscription to a Newsletter’, the data gathered is forwarded to Mailchimp https://mailchimp.com

  • Mailchimp – https://mailchimp.com
  • Mailchimp is a cloud based software used to organise and control subscription lists. This enables the Data Controller to email all the subscribers to a newsletter.

    The Data Controller abides by a Double Opt-in procedure regarding your data. i.e Once the Users Data from the Website form is sent to Mailchimp, a secondary email is sent to the User from Mailchimp which requests further confirmation before the Data can be added to the Mailchimp Subscription List.

    It is only the Data Controller which has access to the Mailchimp account associated to the Website.

    Updating or deleting the Users Data. This can be done either by clicking the links at the foot of the Newsletter emails or by contacting the Data Controller.

  • Google Analytics is used to understand how the website is being used where upon changes can be made to improve the User experience.

    Data is gathered about how the User progresses via their IP address.

    The Data Controller ensures that the IP Anonymization is Enabled and the specific location of the User is not identifiable.

    The Data collected by Google Analytics will only be used by the Data Controller for the benefit of the Website and not shared with any 3rd parties.

    The Data is stored with Google Analytics for 26 months which enables the Data Controller to analyse over annual trends.

How we protect your data on the Website

This Website is protected with an SSL Certification.

The Website is hosted on a secure VPS managed by TSOHost https://my.tsohost.com with independant c-panel access.

The Website is built on a WordPress platform. The software used to build and function the website is updated frequently to ensure high standards of security.

Who might my personal data be shared with?

Your personal data will be made available for the purposes mentioned above and only to responsible management, human resources, accounting, audit, compliance, information technology and other corporate staff, including within the Group Companies. It may also be made available to third parties providing relevant services to us, such as Paradigm Partners LLP, who provide us with certain support services, including regulatory support.
Certain personal data will also be reported to government authorities where required by law and for tax or other purposes. Personal data may also be released to external parties as required by legislation, or by legal process, as well as to companies you authorise us to release your personal data to.

We will not not sell your personal data to any third party.

Direct marketing

We wish to provide you with information about new products, services, promotions, and other information in which we think you may be interested. We may send you such information by postal mail, fax and telephone; unless you have registered with the appropriate Preference Service (we would be grateful if you could let us know if this is the case). If you purchase a product from us we may retain your address for future mailings.
